Terms and conditions

Thank you for choosing Link Expeditions. This document outlines the binding agreement between you (the “Client”) and Link Expeditions (“we”, “us”, “our”) when you book our services. By completing a booking, you confirm that you have read, understood, and agree to these Terms & Conditions.

1. Booking and Payment

  • Payment Policy: For arrivals within 35 days or less, full payment is required at the time of booking. For arrival dates greater than 35 days, please contact us at hello@linkexpeditions.com to discuss payment plans. All tours and services must be prepaid in full to secure your booking.
  • Group Bookings: When booking on behalf of a group, the person making the booking is responsible for ensuring every traveler has read and agrees to these Terms & Conditions. A contract is formed once we accept your deposit or full payment.
  • Pricing: All prices are quoted in United States Dollars (USD) unless otherwise specified. Rates are provided on a per-person basis, assuming the stipulated number of travelers. Any change to the group size may require a repricing of the trip.
  • Payment Fees: Any fees imposed by external financial services (e.g., credit card processors, banks, PayPal) are the responsibility of the Client and may be deducted from any refunds.

2. Cancellations, Refunds, and Itinerary Changes

We recognize that travel plans may change. Our policies are designed to be fair while respecting the commitments we make to our partners and staff.

  • Standard Excursion Cancellations:
    • 72 Hours or More Before Scheduled Excursion: A full refund will be provided, less any applicable payment processing fees.
    • Less than 72 hours and 48 hours or more Before Scheduled Excursion: An 80% refund will be provided, less any applicable payment processing fees.
    • Less Than 48 Hours Before Scheduled Excursion: Non-refundable.
    • No-Shows: Will be charged the full cost of the booking as a penalty and are not eligible for a refund.
  • Special Cancellation Policies (Itineraries, Peak Season, Rentals):
    • Property Rentals & Fishing Charters: These services are provided by third-party suppliers, and clients must comply with their specific cancellation and refund policies. For itineraries including condo/home/villa rentals or fishing charters, the following terms generally apply: cancellations made 90 days or more prior to arrival incur a 50% penalty of the money paid for the canceled item. Cancellations made within 89 days of arrival will result in a 100% penalty.
    • Peak Holiday Periods (December 15 – January 15 & Easter Week): Due to extremely high demand and strict supplier policies during these dates, the following cancellation terms apply:
      • Cancellations made 90 days or more prior to arrival will incur a 25% penalty of the total itinerary cost.
      • Cancellations made between 89 and 60 days prior to arrival will incur a 50% penalty of the total itinerary cost.
      • Cancellations made within 59 days of arrival are non-refundable and will incur a 100% penalty.
  • Booking Amendments & Itinerary Changes:
    • Changes made to a confirmed itinerary will incur a fee of $125.00 USD plus any supplier-related costs. No changes are permitted within 3 days of arrival.
    • Additions to an itinerary are not considered changes and do not carry fees, though the cost of the new service will be added.
  • How to Request Changes & Cancellations:
    • All requests must be submitted in writing via email to hello@linkexpeditions.com and must be officially confirmed by us to take effect.
  • Refund Processing:
    • Approved refunds will be processed to the original payment method within 30 business days of the refund approval.
  • Policy Rationale:
    • While we strive to accommodate everyone, our cancellation policies are in place to help us continue providing you with the best possible service. Late cancellations not only affect our operations but also limit opportunities for other travelers who may have wished to book. By adhering to these policies, we can ensure your excursions and transportation are secure, offering you a smooth and hassle-free experience.

3. Unforeseen Circumstances

  • Weather: Our tours operate rain or shine. We will only cancel a tour if conditions are deemed unsafe by our guides or partners. In such cases, we will first attempt to reschedule. If not possible, a full refund for that activity will be issued.
  • Force Majeure: Link Expeditions is not liable for failures to perform its obligations due to any cause beyond its reasonable control, including but not a limited to, acts of God, natural disasters, pandemics, strikes, or political unrest.

4. Guest Responsibility

  • Travel Insurance: We strongly recommend all clients purchase comprehensive travel insurance. Your international flights and other services not booked through us are not covered by our policies.
  • Health and Physical Condition: It is the Client’s responsibility to ensure they are in suitable physical condition for the activities booked.
  • Documentation: Clients are responsible for ensuring they have all necessary travel documents, including a valid passport, any required visas, and proof of onward travel.
  • Transfers: If your itinerary includes airport transfers, you must provide flight details (flight number, arrival time, name of international airport) at least 1 day before arrival. We cannot guarantee transfers if details are received after this period.
  • Conduct: We reserve the right to remove any participant from a tour, without refund, who is behaving in a manner that is illegal, disruptive, or dangerous.

5. Liability, Risk & Third-Party Services

  • Role of Link Expeditions: Link Expeditions acts as a booking agent for independent contractors (e.g., carriers, hotels, tour providers). We are not liable for any loss, damage, delay, or accident arising from the services provided by these third parties.
  • Assumption of Risk: You understand that participation in adventure activities carries inherent risks, and you voluntarily assume all risks associated with your participation.
  • Release of Liability: To the fullest extent permitted by law, you release Link Expeditions, its employees, and its partners from any and all liability for any loss, damage, injury, or death that may occur during your participation in our tours, except where it is a direct result of our gross negligence.

6. Dispute Resolution, Governing Law, and Jurisdiction

  • Good Faith Negotiation: In the event of a complaint, please first notify us in writing at hello@linkexpeditions.com to allow us an opportunity to resolve the issue amicably.
  • Mediation: If a resolution cannot be reached, both parties agree to first attempt to settle the dispute through mediation in Costa Rica before resorting to further legal action.
  • Governing Law & Jurisdiction: This agreement shall be governed by the laws of the Republic of Costa Rica, and any legal action shall be brought exclusively in the competent courts of San JosΓ©.
